Administrative Assistant - Mass Young Gunners

Position Overview:

The Administrative Assistant for the Mass Young Gunners provides essential administrative support to the Director of Operations and other staff members. This role involves handling club communications, managing schedules and appointments, and performing various administrative tasks to ensure the smooth operation of the club.

Key Responsibilities:

1) Provide Administrative Support:

  • Assist the Director of Operations and other staff with daily administrative tasks

  • Prepare and distribute documents, reports, and presentations as needed.

  • Maintain organized files and records of club activities and communications.

2) Handle Club Communications:

  • Serve as the primary point of contact for incoming communications, including phone calls, emails, and mail.

  • Draft and send out communications to club members, parents, and external parties.

  • Ensure timely and accurate dissemination of information to relevant stakeholders.

3) Manage Schedules and Appointments:

  • Coordinate and schedule meetings, appointments, and events for the Director of Operations and other staff members.

  • Maintain and update the club’s calendar, ensuring all activities are accurately recorded.

  • Arrange logistics for meetings and events, including booking venues and preparing materials.

4) Perform General Administrative Tasks:

  • Manage office supplies and equipment, ensuring that necessary items are stocked and maintained.

  • Assist with the planning and coordination of club events and activities.

  • Handle membership applications, renewals, and other administrative processes.

5) Qualifications:

  • Strong Organizational Skills: Excellent organizational skills, with the ability to manage multiple tasks and maintain detailed records.

  • Effective Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with members, parents, and external parties.

  • Proficiency in Office Software: Experience with office software such as Microsoft Office (Word, Excel, PowerPoint) and email management systems.

  • Experience in Administrative Roles: Previous experience in an administrative or office support role is preferred

  • Attention to Detail: High level of accuracy and attention to detail in managing communications and documentation.

  • Team Player: Ability to work collaboratively with other staff members and volunteers.

  • Problem-Solving Skills: Ability to troubleshoot issues and find solutions efficiently.
